COMMITTEE POSITION DESCRIPTIONS 2021
PRESIDENT
- Chair all club and committee meetings
- Head grading committee and organise grading day including booking court
- Post teams and grades once finalised and registered with BHSNA
- Liaise with registrar regarding registration process
- Approve all expenditure
- Signatory on club cheques
- Compile club calendar with Secretary
- Approve weekly newsletters/information correspondence
- Keep up to date with all team and umpire progress
- Oversee responsibilities of Executive Committee
- Check club pigeon hole in BHSNA office weekly
- Organise presentation day together with committee members
- Organise team trophies, team gifts, umpiring gifts together with committee members
VICE PRESIDENT – NO NETBALL EXPERIENCE REQUIRED
- Chair meetings in President’s absence
- Attend registration/grading days to take uniform orders
- Liaise with uniform manufacturers as required
- Place uniform orders with manufacturers
- Organise collection of uniforms from manufacturers
- Obtain cheques for payment from Treasurer and forward all receipts to Treasurer
- Distribute to players Store sample uniforms
- No uniform to be second hand clothing pool
- Only clean wearable items will be accepted for sale in the second hand pool
- Keep President up to date on all details
- Attend all general and committee meetings
SECRETARY – NO NETBALL EXPERIENCE REQUIRED
- Attend, draft agendas and take minutes of general meetings and committee meetings
- Attend all BHSNA Council Meetings and keep President up to date on details discussed at the meeting
- Reply to correspondence received
- Forward correspondence to relevant committee members for action or distribution
- Do contact list of committee members, their position held, phone numbers and email addresses
- Compile club calendar (November)
- Organise committee meetings at President’s request
TREASURER – NO NETBALL EXPERIENCE REQUIRED
- Organisation and monitoring of clubs finances
- Banking of all monies received
- Responsible for issuing cheques and petty cash etc
- Responsible for payment of invoices
- Keeping books up to date
- Submit yearly report to Fair Trading
- Issue invoices to Sponsors
- Issuing reports at the club general meetings and the AGM
- Forecast any issues that may affect club finances
- Liaise with President
- Attend all general and committee meetings
EQUIPMENT OFFICER – No Netball Experience Required
- Purchase of all new equipment sourcing best price available
- Annual/Bi-annual stocktake of coaches bags and equipment
- Order new season balls in January each year from Supplier (currently Rebel Rouse Hill). Size 4 for modified teams and size 5 for Under 10’s to Seniors.
- All teams to receive 1 new match ball each year, using their old match ball for training.
- Junior team coaches’ bags should be packed with 1 new game ball, 1 training ball, 1 set game patches, 1 set training patches, ball pump, first aid supplies, star of the week trophy, hand held whistle and drink caddy.
- Senior team coaches’ bags should have 1 new game ball, 1 set game bibs, ball pump and first aid supplies.
- Liaise with Coaches Co-ordinator for distribution of coaches’ bags prior to start of season training.
- Stocktake of coaches’ equipment cupboard at Crestwood courts and restocking as required.
- All new equipment purchases for year discussed with President and Committee for approval prior to purchase.
- Invoices/Receipts from purchase to be passed to Treasurer for reimbursement.
- Organise collection of bags at end of season for retiring coaches and when stocktake required
- Storage of bags and equipment between seasons
- Keep President abreast of any changes
- Attend all Committee and Club meetings.
COMMUNICATIONS OFFICER – NO NETBALL EXPERIENCE REQUIRED
- Update website with new changes, ensuring Homepage is always current and up to date
- Monitor club email address for member questions and match reports
- Compile, create and distribute Club Newsletter (monthly or as required)
- Update Facebook and Instagram with club messages
- Attend all General and Committee Meetings
- Keep President up to date on all details
SENIOR UMPIRES CONVENOR
- Responsible for the umpiring allocations to senior teams
- Ensure that all senior umpires are assigned appropriate games according to their capability
- Ensure all senior umpires have a current Section 1 theory pass
- Encourage and mentor senior umpires
- Liaise with BHSNA umpires committee
- Attend BHSNA umpire meetings
- Liaise with President
- Assist in the running of the red and blue awards
- Attend all general and committee meetings
- Keep records up to date of senior umpire qualifications and contact details
JUNIOR UMPIRES CONVENOR
- Responsible for the umpiring allocations for junior games
- Ensure that all junior umpires are assigned appropriate games according to their capability
- Ensure that all junior umpires have a mentor with them
- Encourage all junior umpires to attain a current Section 1 theory pass
- Encourage and mentor junior umpires
- Liaise with BHSNA umpires committee
- Attend BHSNA umpire meetings
- Liaise with President
- Organise the running of the red and blue awards
- Organise umpires for grading day
- Attend all general and committee meetings
- Keep records up to date of junior umpire qualifications and contact details together with records of number of games umpired each season
REGISTRAR
- Organisation and attendance of any registration events
- Responsible for collection of registration money
- Attend registrar’s meeting at BHSNA (December)
- Keep My Netball up to date (computer literacy is an advantage)
- Completing all registration paperwork or via My Netball
- Ensure all players have been placed in a team
- Liaise with President with regard to team grade recommendations
- Attend BHSNA’s registration night (February)
- Responsible for any late registrations or de-registrations
- Make and receive phone calls
- Attend all general and committee meetings
- Keep President up to date on all details
EVENT COORDINATOR
- Organise a coordinator for the 5-6 yr old NetSetGo program (run during August-September)
- Book team photos (March) and distribute information packs and allocate timeslots to Coordinate fundraising events including identifying potential fundraising opportunities and allocating club volunteers for the events
- Coordinate end of season Presentation Day including booking of venue, catering, prizes
- Coordinate any registration days or promotions of SMNC events (including registrations) through local avenues including schools
- Attend all General and Committee Meetings
- Keep President up to date on all details
COACHES/MANAGERS COORDINATOR
- Recruit coaches for all junior and intermediate teams for the next season: Coaches need to be dedicated to train the team, have a solid understanding of netball, follow fair practices and encourage sportsmanship. Each coach must source a manager and inform Coaching Coordinator of their details.
- Formulate list of contacts of Coaches and Managers and distribute to all committee members
- Organise what day and time coaches intend training their teams and coordinate bookings with Baulkham Hills council to book Crestwood Netball Courts for the season.
- Ensure all Working With Children Numbers are provided and verified. Supply updated list too committee.
- Ensure coaches have access to resources (net set go rules, training resources, coach’s corner on website)
- Support coaches to complete Foundation Coaching Course
- Work with Equipment Officer to ensure training equipment is appropriate
- Work with committee to develop coaching course opportunities
- Keep coaches informed of all notices, gala days etc throughout the season – utilise club app to communicate.
- Offer support, encouragement and advice to coaches
- Ensure coaches reports are completed and forwarded to President at the end of the season
- Purchase coaches end of season gifts
- Attend all general and committee meetings and provide report to Secretary prior to meeting
- Ensure net set go is organised to be run starting in August (to end just prior to registration) for 5 and 6 year old boys and girls. Source coaches for net set go and advertise in July. Work with registrar to have all registrations completed prior to commencement of program.
- Request info from coaches and managers in preparation for presentation day (each team to check players names are correct and are to nominate best and fairest and most improved players for awards)
- Support and coordinate development opportunities for coaches
- Attend all General and Committee Meetings
- Keep President up to date on all details
SPONSORSHIP OFFICER
- Seek out companies and secure sponsorship for our club
- Ensure our sponsors have relevant exposure eg website, signage and presentation day
- Collection of sponsorship money to be given to Treasurer
- Make and receive phonecalls
- Organise certificates of appreciation for presentation day
- Attend all General and Committee Meetings
- Keep President up to date on all details
